Supplier Coordinator

Job Summary:

The Supplier Coordinator is responsible for building, maintaining and enhancing solid relationships with contracted supplier. This position is accountable for monitoring supplier performance management and relationship management. This role will drive supplier performance best practices through scorecards/audits, service level agreements (SLAs) and key performance indicators (KPIs). Participate in provider selection including sourcing, negotiating, qualification, and supplier selection to align with production requirements and deadlines. Create, manage and control price lists for internal use by multiple departments. Manage onboarding, development, compliance, quality, and other provider activities.

This role supports production activities by coordinating various aspects of the supply chain, from raw parts to finished goods, as well as assisting with various administrative needs within production and order fulfillment.

In a lean manufacturing environment, assist in maintaining and improving supply chain efficiency and consistency and play a key role in maintaining the company’s product delivery.

Essential Job Functions:

  • Act as link between internal stakeholders (Sales Support, Legal, Quality, Finance) and suppliers (internal and external )
  • Develop and maintain reliable and cost competitive sources of supply or service, while supporting the requirements set forth by the company and the client
  • Work with Sales and Sales Support as needed to format customer bid responses in clear, concise and complete packages
  • Create/track/update/complete related work/purchase orders for suppliers (internal and external)
  • Assist to ensure timely delivery of critical items and parts to meet delivery timelines and control costs
  • Follow and improve supply chain related processes and procedures
  • Control, organize and track all vendor price lists in a central location accessible to internal stakeholders
  • Control, track and negotiate all price changes throughout contract life cycles
  • Enforce supplier invoicing requirements
  • Serve as escalation point for resolving supplier invoicing discrepancies
  • Develop well-reasoned, clearly articulated recommendations for supplier engagement
  • Analyze and drive service supplier selection activities including compliance, performance and value relative to stakeholders’ business plan.
  • Manage risk assessment, qualification systems and supplier monitoring to ensure best-in-class supplier interactions; issue supplier contract termination notices
  • Onboard and track providers to ensure compliance and timely performance
  • Develop procedures and tools to provide clear and consistent policies on selecting and contracting a supplier
  • Resolve issues raised by providers, management, field personnel
  • Maintain all vendor agreements and associated documents
  • Assist in negotiating contract terms and renewals
  • Work closely with managers, buyers and A/P on supplier quality, payment and price issues
  • Maintain good internal and external customer service; maintain and update reports and graphs
  • Perform various administrative tasks
  • Work comfortably in both an office and warehouse environment
  • Drive cost reductions through improved product flow and third party process improvement.

Minimum Education Required
:

  • BA or BS Degree preferred

Minimum Experience Required:

  • 5+ Supply Chain, Procurement, Vendor/Supplier coordination experience
  • Wood, construction or similar industry experience highly desirable

Skills Required:

  • Must understand integrated supply chain and logistic concepts.
  • Ability to meet deadlines and make sound decisions in stressful situations.
  • Strong customer service skills required.
  • Ability to communicate effectively in verbal and written form.
  • Creative problem solving skills.
  • Ability to plan and manage work under time constraints.
  • Able to multitask and work without direct supervision.
  • Excellent computer proficiency, advanced skills with MS Excel, and other MS Office programs
  • Knowledge of supply chain methodologies and procedures; working knowledge of ERP systems is desirable
  • Highly organized, detail oriented, trustworthy, accountable, and able to shift gears quickly
  • Administrative and/ or supply-chain or purchasing experience desired
  • Preferred skills: Knowledge of NetSuite or similar ERP system, Lean Manufacturing principles, 5S, and kaizen

  • Provide Sales Representatives excellent customer service
  • Filling and shipping representatives sample orders, ensuring accuracy of sample shipments and supporting documentation
  • Increase sales representative’s productivity by resolving sample issues via phone or Internet
  • Responsible for dealing directly with sales reps regarding all aspects of samples department process
  • Responsible for creating sample orders, sending order confirmations and detailed packing list
  • Maintain healthy flow of sample orders sent by sales reps
  • Responsible for creating, tracking and implementing changes for sample order process
  • Communicate with sales reps regarding sample orders, status, issues, etc.
  • Provide timely and accurate information to sales reps
  • Amend and update all record/spreadsheets as necessary (ERP and Excel)
  • Various miscellaneous tasks and duties as necessary
  • Regular and reliable attendance

Minimum Education Required
:

  • Associates degree preferred

Minimum Experience Required:

  • 2-5 years in customer service or related field

  • Ability to work cross-functionally and interact with multiple levels of the organization
