Account Payable Specialist

Job Summary:

We are looking for a reliable Accounts Payable Specialist. The A/P Specialist is responsible for assisting the Accounting Manager in running the AP department and has the primary responsibility of the accurate and timely completion of all Accounts Payable-related functions.

Essential Job Functions:

  • Ensures accurate and timely completion of all Accounts Payable-related responsibilities, including but not limited to, payment of suppliers and employees for expense reimbursements and meets month end closing deadlines related to these functions
  • Approves selected transactions in system, ensuring team’s compliance with established practices and procedures.
  • Assists team, as needed and requested, in processing invoices, expense reports, check runs and fixed assets.
  • Balance daily AP processing, reconcile bank charges daily
  • Prepares journal entries for monthly accruals
  • Prepares expense reports in Concur and all supporting information related to proper accounting for the Company Procurement card
  • Coordinates annual preparation and timely filing of IRS forms 1099 and 1096.
  • Supports internal and external stakeholders with information and report requests related to invoices, expense reports, fixed assets and capital projects.
  • Special tasks as assigned and participate in special projects as needed.

Minimum Education Required
:

  • Bachelors degree

Minimum Experience Required:

  • Minimum 3 years of accounts payable experience with large volume company
  • Proficiency with Microsoft Office required

Skills Required:

  • Demonstrated ability to work in a fast paced, dynamic, entrepreneurial environment
  • Strong communication, problem solving, and interpersonal skills
  • Ability to self-motivate, work with a sense of urgency, and to prioritize tasks
  • Display a detail-oriented approach to work
  • Quick learner
  • Strong Excel skills including V-Lookup, Pivot Tables, and other data analysis techniques
  • Netsuite and Concur experience highly desirable

Sales Support Specialist

Job Summary:

The Sales Support Specialist works in the sales support department in order to increase sales productivity, provide client satisfaction, and grow profits for the nationwide territories. This position is part of the sales support team responsible for supporting Sales Reps, servicing client accounts, and resolving client issues via the phone and/or Internet. Duties include managing inbound and/or outbound inside sales activity for new or existing accounts, as well as the identification, creation, and/or implementation of revenue and gross profit enhancing programs and tools.

Essential Job Functions:

  • Maintain healthy flow of orders sent in by sales reps
  • Make sure all escalated issues in regards to orders are handled properly
  • Maintain special requests/orders from clients or sales reps

Minimum Education Required
:

  • Bachelors degree preferred

Minimum Experience Required:

  • 2 – 5 years in customer service or related field

Daily Tasks:

  • Responsible for creating orders and seeing them through the entire sales cycle
  • Responsible for dealing directly with customers and/or sales reps regarding all aspects of the sales process
  • Responsible for creating, tracking, and implementing changes for the sales support process
  • Responsible for updating standard operating procedures related to sales support processes and send to the Sales Support Supervisor for review and approval
  • Communicate with all levels of sales regarding orders, status, issues, etc.
  • Act as a liaison between sales reps, managers, and other departments within the organization to help ensure customer satisfaction
  • Serve as a liaison between our off-site field sales reps and the practices we work closely with
  • Provide timely and accurate information to requesters
  • Copy, scan, fax and email documents as required
  • Amend and update all records/spreadsheets as necessary (ERP and Excel)
  • Various miscellaneous tasks and duties as necessary
  • Regular and reliable attendance

Skills Required:

  • Ability to work cross-functionally and interact with multiple levels of the organization
  • Excellent customer service skills and communication skills (verbal and written)
  • Have outstanding problem-solving skills.
